NTC Executive Assistant

The Nuu-chah-nulth Tribal Council (NTC) is looking for a results-driven Executive Assistant with a track record of being high-functioning and able to produce quality work on a timely basis. In this role you will support the Executive Director, Human Resource Manager and Executive leadership team by carrying out a variety of important, confidential, and complex administrative support functions. Based out of the main Port Alberni office, this permanent, full-time position is provided a competitive salary and an attractive benefits plan.

Responsibilities will include:

  •  Provide support and assist in high level meeting coordination for: NTC Directors’ meetings, NTC General Society meetings, NTC Executive Committee meetings, Human Resource Committee meetings & Managers’ meetings
  •  Set up travel arrangements, coordinate meeting & engagements, for the Executive leadership team
  •  Ensure meeting kit materials are compiled and kits are prepared, prepare summary and action item notes, and develop draft records of decisions for each meeting
  •  Organize and maintain confidential personnel records and files, and various meeting records of decisions
  •  Provide administrative support to Executive (President & Vice President) as necessary
  •  Prepare draft administrative memos, letters, notices, as requested by Executive
  •  Review and code incoming invoices and forward to Executive Director for approval
  •  Maintain confidentiality on all Executive level and/or Human Resource matters of NTC

Preferred Qualifications:

  •  Post-secondary diploma or certificate in office administration with demonstrated successful experience in an high-level executive assistant role, or high school diploma combined with 3 to 5 years of progressive experience within an organization
  •  Superior time management, multi-tasking skills, ability to prioritize tasks, and able to work independently with minimal supervision, able to juggle multiple tasks at once, and can switch gears swiftly and effectively
  •  Must have excellent writing and communication skills (tactful/respectful), with proven ability to write and format moderately complex documents upon request
  •  Knowledge and understanding of the general meeting processes including rules of order, recording of decisions at the committee and/or political/society level
  •  Understanding of FN’s governance, issues and protocols would be considered an asset
  •  Must be professional, with a mature attitude, possess a strong work ethic , and practices sound judgement
  •  Excellent working knowledge of MS Office, Internet, Outlook, Excel Spreadsheets
  •  Possess a valid BC Driver’s License and have daily access to a vehicle for business travel, and must willing to travel for out-of-town meeting with occasional overnight stays
  •  Provide references and an acceptable criminal record check
